"Everyone is looking at the same documents, and there are no discussions about which documents are valid. Transparency!"
KvalitetsBygg recognized the need for a platform that would ensure all project members have access to the right information and work with the latest version of documents and drawings.

Access to the right version and fewer mistakes
KvalitetsBygg saw the need for a platform that would ensure that all project members have access to the right information and work with the latest version of documents and drawings. After testing various solutions, KvalitetsBygg has chosen Webforum as the tool.
"Everyone looks at the same documents and there are no discussions about which documents apply. Transparency!", says Martin Bernsten, operational manager at KvalitetsBygg.
Challenge: Getting everyone to see the same version of a document
For construction companies, mistakes in drawings or using the wrong version of documents can result in big consequences in terms of time and money. For KvalitetsBygg, it is important to achieve transparency in work and get a good overview of documents in order not to spend time finding out which documents apply.
Solution: A common workspace in the cloud
In 2018, KvalitetsBygg began testing Webforum's platform and already at the beginning of 2019 the use had grown from one project to all new construction projects. Web forums are used as a common workspace for drawing and document management where internal and external project members always have access to the right information.
"What is unique about Webforum is the ease of use. The system is not "flashy" but instead focuses on a simplicity that many people understand. - Martin Bernstein.
Result: Fewer errors and more efficient collaboration
Investment in Webforum has paid off for KvalitetsBygg both financially and practically. The number of errors has decreased and faster information sharing has resulted in time savings. Both internal and external collaboration has been facilitated and became smoother as everyone could work with the right documentation when it suits them.
"It streamlines our collaborations and projects in terms of drawings. We avoid mistakes with the wrong drawings being used," explains Bernsten.
The tool was perceived as user-friendly and easy to use. It only took a few workshops before everyone accepted the tool and started using Webforum daily.
Tyréns creates structure among thousands of files using Webforum
Tyréns requested a powerful tool for the efficient management of large amounts of information that can be used in the development and management of buildings and facilities.
In a joint procurement with the city of Helsingborg, the choice fell on Webforum's solution, which had the highest scores in all areas: functionality, user-friendliness and price.
Challenge: Information dissemination within different tools
Tyréns completes thousands of assignments per year and helps clients manage documentation for their real estate holdings. As their self-developed system lacked the right functionality, the management decided to look for a tool that would bring together project tools, document and case management in one and the same solution.
"We have usually worked in a common file structure with many different tools where we handle e-mail, calculations and project plans separately" - explains Inge Wihlborg, BIM strategist and project manager at Tyréns.
Solution: A central gathering place for documentation and collaboration
In 2012, the Webforum solution was implemented to simplify project administration, provide an overall picture of documents and project activities and create a better basis for decisions. Tyréns also uses Webforum as a standard tool in cases where clients for construction projects lack the right support or when the existing tool does not have the right functionality.
"In summary, you can probably say that it is the simplicity of getting started combined with the opportunity to grow and then use more advanced functions as needed. If you, like us, in some cases have tens of thousands of documents in a project, it must be easy to both find and administer all the information," says Stefan Persson, BIM/GIS strategist at Tyréns.
Result: Increased efficiency and reduced time wasted
In a short time, Tyréns managed to reduce unnecessary administrative work, set up a good structure for his documents and create transparency in projects. Web forums made it easier for project members to participate and get the right information at the right time. Active use of the Web forum also resulted in a time saving thanks to structured collaboration and information management.
"In a project, each user spends fewer hours managing information collaboratively, and if there are 100 users, there are significant savings for projects or administration," says Stefan Persson.
"I would guess that we saved at least one hour every week per person, which for 20 people in a normal project of ten weeks results in 200 hours of pure savings, very low calculation." - Inge Wihlborg
Webforum signs an agreement with SBB for joint working methods in project operations - for a more sustainable development
Samhällsbyggnadbolaget i Norden AB (SBB) strives for increased control and efficiency in its projects and its project activities. With this as a starting point, SBB chose to enter into a long-term collaboration with Webforum.
Samhällsbyggnadsbolaget i Norden AB (SBB) is the largest Nordic property operator within social infrastructure and creates sustainable environments where people want to live, work and stay for a long time to come. In order to streamline its decentralized project operations, SBB sought a solution for better overview and control.
Webforum is a scalable platform for construction projects that makes the complex simple. The platform is designed to help the project manager save time, the client to save costs and insures society's buildings with secure documentation that enables sustainable management over time.
"We at Webforum look forward to being part of SBB's growth journey and to being a complete support for their project operations. By using Webforum's efficient functions to plan, implement and follow up projects, SBB gets a more controlled and efficient project operation" , says William Wictor, Account Executive at Webforum.
To ensure a more efficient start-up of new projects, flexible templates are created for the project managers. This means that they can start projects in a simple and more uniform way without having to start from scratch. We have seen that the use of flexible templates in project organizations leads to a clear reduction in administration for project managers and a greater overall cost saving in the projects, continues William.
- We chose Webforum as their offer met the needs we have within the organization. The advantage of Webforum is that it is modular and that we can choose the parts that best fit each project, says Mattias Monbäck, construction manager at Samhällsbyggnadsbolaget.
SBB is a decentralized project organization with strong local roots in each location, but with an aspiration for a common way of working. The response from Webforum has been very good throughout the procurement and they have been responsive to our needs.

VafabMiljö stops waste in its project
When VafabMiljö was about to start its biggest project in a long time, responsible project manager Henrik Westman realized that they needed project support to succeed with this important project.
After evaluating various solutions on the market, VafabMiljö has chosen to plan and document the reconstruction of their biogas plant in Webforum.
"The facility in its entirety must be completed and ready for trial operation at the turn of the year 2020. But certain parts, i.a. the new pretreatment, will be commissioned earlier than that. Common to all sub-projects, however, is that all document/file handling for both internal and external project participants takes place via the Web forum." - says Henrik Westman, project manager at VafabMiljö.
Challenge: How do we create a neutral platform for collaboration?
When many different parties and suppliers would work on the same project, discussions often arose around overview, traceability and version management of documents. After the decision was made that VafabMiljö would rebuild its biogas plant, many different subcontractors and external project participants were contracted. The project lacked the right support in the form of a shared workspace where everyone involved in the project could collaborate and share relevant information. There was a risk that important information could disappear during the journey or that things would not get done.
The entire conversion and extension is in reality divided into various sub-projects, where some are carried out as conventional turnkey or execution contracts, while a large part of the project is carried out in partnership with a foreign general contractor. - explains Henrik Westman.
Solution: Transparency that creates results
In 2018, VafabMiljö chose Webforum's platform to create structure and an overview of documents and project activities. Web forums are used as a common workspace where all project members have access to the visual timeline and see what has been done and what needs to be done.
"Web forums are an extremely important and valuable tool for effective collaboration in the project. Especially when it comes to the parts that are implemented in collaboration where we (customer and contractor) jointly plan and project the upcoming implementation." -Henrik Westman
Result: Fewer mistakes and smoother collaboration
By using Webforum, VafabMiljö managed to streamline its collaboration, achieve transparency and get everyone in the project to become more involved. With the support of the Web forum, all project members could access relevant information and get a clearer picture of how the project is going.
"Thanks to Webforum, we now don't have to email different versions of documents and drawings to each other. Instead, we can work with the same file and in a simple way, thanks to the functions of the Web forum, keep track of version history, which documents have a work status and which have a status determined/approved, etc. - Henrik Westman
